Workflow automation
Automate quote follow-up and repetitive administrative work.
Turn a repeated quote, document, reminder, or task handoff into a defined workflow. Map the current steps, review points, and unusual cases before deciding what software should handle them.
A good first workflow has boundaries
A useful candidate happens often enough to matter, uses inputs the team can identify, and has a person who owns the result. Most cases follow a known rule, unusual cases can be described, and the manual process remains available if the automation pauses.
Illustrative example: quote follow-up
Proposed workflow, not a delivered customer project
- Input
- An open quote, its date, customer contact, reply status, waiting period, and follow-up owner.
- Action
- After the waiting period, check that the quote is still open and unanswered. Prepare an email from approved information and send it to the owner for review.
- Output
- An approved email follow-up and a status record showing what happened.
- Exceptions
- Stopped quotes and replied quotes are skipped. A missing contact is flagged. Pricing questions, complaints, unusual commitments, and conflicting records go to the owner.
Choose the simplest workable approach
| Approach | When it fits |
|---|---|
| Use the current product | A setting, template, reminder, connector, import, or export handles the job. |
| Improve the process | Statuses, ownership, or instructions are inconsistent before software becomes involved. |
| Build a workflow | The steps repeat, the inputs and rules are known, and unusual cases can reach an owner. |
| Keep it manual | The work is rare, changes often, or depends mainly on judgment and sensitive decisions. |
Scope depends on the systems involved, data consistency, approvals, message variations, exceptions, and access to realistic test records. The process owner also needs time to explain the work and review test results. Any outside software, provider, support, or recurring charges should be identified before a decision.

Before commissioning the work, review how scope, testing, handover, and support are agreed.
Map a repetitive workflow
